Aged debt

An aged debt report is a financial report that details the amount of money that the academy/club is owed by its students by grouping and sorting the amounts according to the number of days outstanding. An aged debt report provides an overview of the invoices your students have been issued less any credit notes but has yet to pay.

When an invoice,e is generated based on the payment terms, the invoice due date (the date by which the invoice has to be settled) will be populated. For example, if the invoice date is the 1st of Jan 2023 and the payment term in days is 7 days, the invoice due date will be the 8th of Jan 2023. If the invoice is not paid fully by the invoice due date, the outstanding invoice amount is an aged debt.

To execute the report, Select “Aged debt” under reports in the main menu.


There are no mandatory fields in this report. You can limit the data displayed by selecting a specific venue or specific class. Click on Run.


The report first shows a graph that groups the amount owed by the student group by the outstanding days. Below the graph is the list of students with outstanding debt grouped together by outstanding days


To send reminders to the finance contacts, click on the check box before the student (Use the check box next to the header “Student” to select all students with outstanding balance) and then click on “Send Payment reminder”


Payment reminders are sent by email to the finance contacts - one of the emails sent from the above report is shown below


Click on “Download CSV” to download the data into excel. The CSV report downloaded for the above run is shown below
